Short answer: pick one due date for every tenant, put a late-fee rule in writing, share one UPI ID or QR, send a reminder before the due date (not only after), and give a receipt for every payment. Most late rent in a PG is not refusal to pay. It is tenants forgetting, owners not reminding, and nobody being sure who paid what.
This guide walks through that system step by step, with UPI limits and fees, copy-ready reminder messages, and how to handle partial payments and tenants who keep paying late.
Why PG rent comes in late
- Everyone has a different due date. When each tenant pays on their joining date, you end up chasing someone almost every day of the month.
- Reminders start after the due date. By then the salary has already gone to other bills.
- Payments are hard to match. A ₹7,000 UPI credit from "Rahul S" could be any of three Rahuls, or a friend paying for someone.
- No receipts. When there is no record, disputes like "I paid in cash last month" are hard to settle.
- Late payment has no cost. If paying on the 15th is the same as paying on the 1st, many tenants will pay on the 15th.
Step 1: Fix one due date (or two)
Move everyone to the same due date, usually the 1st or 5th of the month, close to when most salaries arrive. For students, a date shortly after parents usually transfer money works better.
For a tenant who joins mid-month, charge pro-rata rent for the first part-month, then move them onto the common date. For example, a ₹6,000/month tenant joining on the 20th of a 30-day month pays ₹6,000 × 11 ÷ 30 = ₹2,200 for the first part-month, then ₹6,000 from the 1st.
If your tenants are a mix of students and working people, two dates (say the 1st and 10th) are still far easier than thirty.
Step 2: Put payment rules in writing
Write these into your PG rules or the agreement, and have each tenant accept them at joining:
- Rent due date, and the grace period (for example, 3 days).
- The late fee after the grace period: a flat amount (₹100–₹200) or a small amount per day, with a cap. Keep it modest. The point is to make "later" cost something, not to profit from it.
- Accepted payment methods, and that cash payments get a receipt on the spot.
- What happens if rent stays unpaid, for example after a month, following the notice process in your agreement.
Step 3: Set up UPI properly
Use a dedicated UPI ID or bank account for PG rent, separate from personal spending. It makes matching and accounting far easier, and it shows clearly what the PG earns.
| Option | How tenants pay | Good for | Watch out for |
|---|---|---|---|
| UPI ID / QR to your account | Scan or enter your UPI ID in any UPI app | Small PGs, zero fees | You must match each credit to a tenant by hand |
| UPI with payment proof | Tenant pays your UPI, then uploads the screenshot | Clear record of who paid | You still approve each proof |
| Payment link / gateway | Tenant taps a link, pays by UPI, card or net banking | Automatic matching and receipts | Gateway fee per payment |
UPI limits and fees in 2026: person-to-person UPI transfers are free, and the limit is ₹1 lakh per day per account (RBI and NPCI have kept it unchanged). Some banks set a lower daily cap or a limit on the number of transfers a day. Monthly rent for a single bed is well under this, but a tenant paying several months' rent plus deposit at once may need two days or a bank transfer.
Card and net banking payments through a payment gateway carry a fee, typically around 2% plus GST. Decide up front whether you or the tenant pays it, and say so in your rules.
Step 4: Remind before, on, and after the due date
A schedule that works for most PGs:
| When | Message |
|---|---|
| 2 days before | Friendly heads-up with amount and due date |
| On the due date | Due today, with the UPI ID or pay link |
| 3 days after | Overdue, how many days late, late fee from when |
| 7 days after | Firmer reminder; owner follows up personally |
Copy-ready messages:
Before due: Hi Rahul, your rent of ₹7,000 for Room 102 at Sunrise PG is due on 5 Nov. You can pay to UPI ID sunrisepg@okbank. Thank you!
Overdue: Hi Rahul, your rent of ₹7,000 for Room 102 was due on 5 Nov and is now 3 days late. As per PG rules, a late fee of ₹100 applies from tomorrow. Please pay today to sunrisepg@okbank.
Send reminders on WhatsApp. Tenants read it, and a reminder from the PG's number is easier to take seriously than a call.
Step 5: Match every payment to a tenant
- Ask tenants to add their room number in the UPI note ("Rent Nov – Room 102").
- Check credits daily during the first week of the month and mark each one against a tenant the same day.
- For payments from a parent or friend, note the payer's name against the tenant once, so next month is easy.
- Record cash the moment you receive it, never "later".
Step 6: Send a receipt for every payment
A receipt with the tenant's name, room, month, amount, date and payment mode ends most disputes before they start, and working tenants need them to claim HRA. Send it on WhatsApp right after payment. Our free rent receipt generator works for one-off receipts.
Partial payments and tenants who keep paying late
Partial payments: accept them rather than wait for the full amount, but record the balance and the date the tenant promised. Apply payments to the oldest dues first, so a balance cannot hide behind newer months.
Repeat late payers: talk to them early in the month, not at the end. If it is a salary-timing problem, a later due date for that tenant may fix it. If it is not, apply your late-fee rule consistently. Tenants watch how you treat others. For long unpaid rent, follow the notice process in your agreement; our guide to notice to vacate letters has formats.
Deposits are not rent. Avoid adjusting the security deposit against current rent except at checkout. Otherwise you may have nothing left to cover final bills or damage. See PG security deposit rules.
Doing this with My PG Manager
If you would rather not run this by hand, My PG Manager handles each step:
- Automatic WhatsApp reminders 2 days before the due date, on the due date, and 3 and 7 days after, with a daily dues list for you.
- Online rent collection by UPI, card or net banking, matched to the tenant automatically. The gateway fee is 2.36%, and you choose whether you or the tenant pays it.
- Payment proof approval for tenants who pay your UPI directly: they upload the screenshot, you approve it.
- Partial payments tracked with the balance carried forward, and WhatsApp receipts for every payment.
- A free tenant app where tenants see exactly what they owe.
It costs ₹159 a month for unlimited properties and tenants after a 14-day free trial. See pricing.
Frequently asked questions
Is there a fee for receiving rent by UPI?
Person-to-person UPI transfers to your bank account are free. Payments through a payment gateway (which also accept cards and net banking) carry a fee, typically around 2% plus GST per payment.
What is the UPI limit for paying rent?
₹1 lakh per day per account for person-to-person transfers, and some banks set a lower limit. Monthly rent for one bed is usually well within it.
Can I charge a late fee on PG rent?
Yes, if it is in your written rules or agreement and the tenant agreed to it at joining. Keep it reasonable and apply it the same way to everyone.
Should I still accept cash?
You can, but give a receipt immediately and record it the same day. A cash receipt above ₹5,000 usually needs a ₹1 revenue stamp if the tenant wants it for HRA.
