Short answer: an out-pass (or gate pass) is written permission for a hostel resident to leave the premises for a stated time. A good system has four parts: clear rules on who can go out and until when, approval by the warden before the student leaves, a check at the gate on the way out and back in, and a record you can look up later. Most problems — students leaving without permission, nobody knowing who is outside at night, late returns noticed only the next morning — come from one of these four being missing.
What is a hostel out-pass?
An out-pass is a short permission slip, paper or digital, that says who is going out, where and why, when they leave and by when they must be back, and who approved it. The watchman at the gate checks it before letting the student out, and notes the time they return.
School hostels, college hostels and many private girls’ and boys’ hostels use out-passes. In a school hostel it protects children and gives parents confidence; in a college or private hostel it answers the question every warden is asked at some point: “Where was this student last night?”
Types of out-pass
| Type | Typical length | Who usually approves |
|---|---|---|
| Outing (market, bank, short visit) | A few hours, same day | Warden |
| Going home / weekend | 1–3 days, sometimes longer in holidays | Warden; parent consent for minors |
| Medical (doctor, hospital) | Same day, can be urgent | Warden or the duty staff |
| Night out / late return | Overnight or past gate timing | Warden, often with parent consent |
Rules to write down before you start
Put these in your hostel rules and have every student (and, for minors, a parent) accept them at admission:
- Gate timings. The latest time students can come back on a normal day, and on weekends.
- Who needs a pass. Every exit, or only exits outside set “free hours”.
- How early to ask. For example, outings the same morning, home visits at least a day before.
- Parent consent. Which passes need a parent’s confirmation (for minors, usually any overnight stay).
- What happens if a student is late. A call to the student, then the guardian; repeated late returns, a warning, then loss of outing privileges. Write the steps, not just “strict action”.
- Visitors. Who may visit, where they wait, and that every visitor is logged at the gate.
Our PG and hostel rules template has wording you can adapt.
What a gate pass must record (format)
Whether you use a printed book or an app, every pass should capture the same fields:
HOSTEL OUT-PASS
Pass no.: ______ Date: ______
Student name: ____________________ Room / bed: ______
Type: Outing / Going home / Medical / Other
Going to: ____________________ Reason: ____________________
Leaving at: ______ Must return by: ______ (date & time)
Guardian name & phone: ____________________ Guardian informed: Yes / No
Approved by (warden): __________ Signature: ______
At the gate — Out at: ______ (watchman) In at: ______ (watchman)
The two gate times are the part most paper systems lose: the slip is approved, but nobody writes down when the student actually left or came back.
Why the paper register breaks down
- Nobody knows who is outside right now. At 10 pm the warden has to page through the register to work out who has not come back.
- Late returns are noticed late. A student who was due at 8 pm is often only missed at the next roll call.
- Slips can be reused or written by students. The watchman cannot easily tell a real approval from a forged one.
- Roll call and passes don’t talk. Students away on an approved pass get marked absent, and the absent list is full of people who are allowed to be away.
- Records are hard to search. Finding every outing of one student last month means reading every page.
How a digital out-pass works
In My PG Manager’s hostel management system the same steps happen on phones:
- The student requests the pass in the free tenant app: type, leaving time, return time, where they are going and why. The warden gets a notification.
- The warden approves or rejects it in one tap (with a reason if rejected). A warden can also create a pass for a student who doesn’t use the app — for example when a parent calls.
- The approved pass shows a QR code and a 6-digit code on the student’s phone. Each pass has its own code, so it can’t be copied for another day.
- The watchman scans the QR at the gate (or types the code), checks the student’s photo, and marks them out. On the way back, the same scan marks them in. The watchman has a separate login that shows only the gate — no fees or student files.
- Late returns are flagged automatically 15 minutes after the return time: the warden and the student get an alert, and the gate’s “outside now” list shows the student as late.
- Roll call knows who is on a pass. Students who are out on an approved pass appear as “on pass” and are marked on leave, not absent.
Passes that are approved but never used expire on their own after the return time, so an old approval can’t be used later. Every exit and return is stored with the time and who marked it.
WhatsApp updates to parents when a pass is approved, when the student leaves, returns or is late are being rolled out. Until then, the guardian’s number is on every pass and the warden can call in one tap.
Setting it up in a hostel
| Step | What to do |
|---|---|
| 1 | Add your property as a Hostel (an existing PG can be switched to Hostel). |
| 2 | Add rooms and students, with each student’s guardian contact. |
| 3 | Add your warden and watchman with the Warden and Gate / Watchman roles — each logs in with their own phone number. |
| 4 | Ask students to install the tenant app; give the watchman a phone at the gate. |
| 5 | Set roll-call sessions (for example 9:30 pm) so the warden gets a reminder and passes show up in attendance. |
Frequently asked questions
What is the difference between an out-pass and a gate pass?
They usually mean the same thing in hostels: permission to leave, checked at the gate. Some hostels call short outings “gate passes” and overnight or home visits “out-passes” or “leave passes”.
Should a hostel ask parents before giving an out-pass?
For students under 18, most hostels ask a parent or guardian before any overnight stay or home visit, and many inform parents of every outing. For adult students it depends on your rules; write the rule down and follow it the same way for everyone.
What if a student does not have a smartphone?
The warden creates the pass from their own phone, and the watchman checks it by the student’s name and photo on the gate screen. The out and in times are still recorded.
Does the watchman need internet at the gate?
Yes — the gate screen checks each pass live so a cancelled or expired pass can’t be used. A basic mobile data connection is enough.
Can this work for a college hostel that already has an ERP?
Yes. The ERP keeps admissions, academics and exams; the hostel app runs the hostel day to day — rooms, out-passes, gate, roll call and fees.
